Connect Microsoft 365
A Microsoft Global Administrator approves Docent once — that unlocks sign-in, your host directory, and send-as-your-domain email. If that's you, approve it now; if not, hand it off — either way you keep setting up.
Approving opens Microsoft's standard consent screen in a new tab — needs Global Admin rights. Prefer to wait? Skip it; it stays on your to-do list.
Bring alerts into Teams Professional
Host arrival cards appear right in Teams — with On my way / Running late buttons. After sign-in, one click installs the app for everyone, so there's nothing for your team to do.
Google Workspace
You're ready to go on Google — here's the lay of the land.
Add Slack? Professional optional · any platform
If your team lives in Slack, post host alerts there too — it runs alongside Teams, Google, or email. You'll connect it from the Setup guide after sign-in.
Notify-only today Interactive buttons in Slack are on the roadmap.
Your first location
Where will visitors check in? You can add more sites later — each can run in its own language and hours.

Which languages do your visitors need?
The kiosk, invites, and NDAs adapt to each visitor's language. Tap ★ to set your default — it leads and drives the NDA's default tab.
A Kansas City HQ plus a Mexico City office (Spanish) or Montreal lobby (French)? Each site runs in its own language — same account.
What do visitors need to do at check-in?
Toggle on what applies — we'll set up each one on the next screens and skip the rest.

Your visitor NDA
Start from our sample and make it yours — rich text, with a tab per language you chose. Signed on the kiosk, archived as a PDF, and emailed to the visitor.
{{name}}, {{company}} and {{date}} are filled in per visitor. Editable anytime in Settings → NDA.
Applies to the org default NDA. Printed under the visitor's signature on every signed PDF.
Safety training
How do visitors complete training at the kiosk?
MP4 video or PDF slide deck (up to 200 MB). Skip to upload it after sign-in.

🔒 A training-only role needs Enterprise (separate roles). On other plans your admins & front desk mark training complete.
They get a sign-in invite (held until your workspace is ready) with the dedicated Trainer role — they can mark training complete and nothing else.
Have someone who staffs reception? They get the Front desk role — day-to-day check-in & the arrival alerts, no admin settings. Admins mark training complete.
Scan a driver's license / ID Professional
At check-in the kiosk reads the barcode on a U.S. driver's license or state ID, captures a photo of the document, and matches the decoded name to what the visitor typed — a mismatch or an expired ID is flagged for the front desk.
Guest Wi-Fi
Who provides your guest network? A fixed SSID + passphrase you can set up right here; RUCKUS and UniFi need API credentials, so we'll add those to your to-do list.
These print on the visitor's badge — it's a shared guest password, not per-visitor.

Watchlist & export screening Enterprise
Screen every visitor's name and their company / employer against U.S. government denied-party & export-control lists at check-in, and flag a match for the front desk to review.
Who hears about a potential match — the front desk always reviews it; you can also loop in the host.

Who walks through your door?
Each type has its own check-in flow and badge. Tap an example to add it, then rename it and toggle its steps — or build your own.

Your brand
Your logo and color appear on your kiosk, invitation emails, and wallet passes. Printed badges keep it simple — black and red on the recommended Brother label printer, so they stay fast and legible.

Give visitors a wallet pass Professional
Add a Docent pass to Apple Wallet or Google Wallet — no app to install. It shows the visit and a QR for fast re-entry, carries the logo and color you just set, and can pop up on the lock screen when the visitor arrives on-site.

Your people
Two quick lists: who runs Docent, and who visitors come to see. We create their access now and email their sign-in links once you're signed in.
Whoever staffs reception or manages Docent — one-tap sign-in link, no passwords.
⚠ The same email is listed twice. Each person appears once — set them to All sites or a single location, not two.
🔒 Front desk is a reception-only role (no admin settings) on Professional. On Starter, everyone you add here is an admin.
Add a few people visitors will ask for — each is notified the moment their guest checks in. Add more anytime.
💡 On Professional with Microsoft 365, this fills itself from your directory — reception picks anyone in the company, no typing.
Your guest invite email
Extra details we add to the pre-registration email each visitor gets — a personal note, where to stay, parking. Written per location and per language; a language you leave blank falls back to that site's default.
Placeholders {name} {host} {org} {location} {dates} fill in per guest. Paste an image straight into any box (a parking map, a campus plan). Section titles translate automatically.

Your kiosk devices
Each check-in tablet has its own kiosk URL — open it once on the device and it's paired. Add one per lobby or entrance; kiosks belong to a location.
Also in Settings → Locations. Pair a device by opening its kiosk URL in the browser (or install it as a home-screen app).
