Visitor management for ITAR, export-control, and secure facilities
If a wrong visitor on your floor is a compliance problem — not just an inconvenience — your sign-in sheet isn't enough. Docent screens every visitor against government watchlists, captures the NDAs and IDs your program requires, and keeps an auditable record of who was on-site, escorted by whom, and what they agreed to.
Talk to us about your requirements →Watchlist & denied-party screening on every visit
Every visitor is checked against the U.S. government's Consolidated Screening List (via the official trade.gov API) and your own internal ban list, with the result recorded on the visit as evidence. It's fail-secure: if a screen can't complete, the kiosk holds the visitor for staff review instead of waving them through — so an outage never becomes an un-screened entry.
Visitor NDAs, signed and stored at the kiosk
Require a non-disclosure or site-safety agreement before a visitor is admitted. They read and sign it on the kiosk — in their language, across the languages you supply — and Docent stores the signed PDF against the visit, with the exact language they signed. No loose paper, no "we think they signed one."
Government-ID capture & identity check
For visitors who need it, the kiosk photographs the ID document and reads the driver's license barcode (AAMVA PDF417), checking the parsed name against the name they entered. ID images are encrypted at the application layer and auto-age out on a short retention window — the verification result stays on the record. (See Security for exactly how that data is protected.)
Contractors, escorts & access levels
Purpose-built for plants and secure sites: define visit types that require an escort, safety training, or a specific building-badge access level. Reception assigns a numbered physical badge at check-in; the scan is rejected if the badge doesn't match the access level the visit requires. Contractors get the same screening and agreement gates as anyone else.
Safety training at the kiosk
Play a site-safety video or slides at check-in and record completion before the visitor is admitted, with the evidence (watched/viewed) kept on the visit. Training is valid across visits for a window you set, so a returning contractor isn't re-trained needlessly.
An auditable record — and the reports to prove it
Every visit carries who they were, who hosted them, their screening result, the NDA they signed, their training status, and the badge they held. The admin Reports tab turns that into compliance, screening, NDA, ID-capture and evacuation reports you can filter by date and location and export to CSV or Excel for an auditor.
The honest part
Docent is a control inside your compliance program — it does not by itself make you ITAR-compliant, and we won't tell you otherwise. What it does is enforce the visitor-side controls consistently and keep the evidence, so the visitor log is one part of your program you don't have to worry about. We're glad to complete your vendor security questionnaire and walk your team through the architecture.
